Part Time Bookkeeper & Office Assistant

Overview:

Clarendon Presbyterian Church, a small, progressive and LGBTQ+ affirming congregation in Arlington, Va., is seeking a part-time 10 hour a week Bookkeeper / Office Assistant to join our small & dynamic staff serving a growing congregation of about 75 people. The Bookkeeper and Office Assistant will maintain and update the financial records of the church, record and thank donors, and complete office duties as assigned. 


Schedule: This position is ten hours a week.  It is strongly preferred that the Bookkeeper/ Office Assistant be in the office at least 7 hours a week.  The preferred in person days are Tuesdays and/ or Wednesdays within the timeframe of 8:00 am-6:00 pm. The position allows for 3 hours of remote work with a preference towards Thursdays or Fridays.  The 10 hours can be divided between two workdays, or be completed throughout the week. The times for in person work will be mutually agreed upon with the pastor and personnel committee. 


Qualities desired: The church is seeking a candidate  who is organized, trustworthy, and has strong computer skills, especially with excel/ spreadsheets.  Prior experience in bookkeeping and administrative tasks is strongly preferred. 

Duties, Responsibilities, Compensation & How to Apply

Bookkeeping: 

  • Pay bills with church oversight.

  • Manage bi-monthly payroll with payroll management service; Manage W2 forms.

  • Keep track of volunteers’ deposits of checks. 

  • Update church budget at least monthly, 5 days prior to the Session (board) meeting. 

  • Create church investment funds report for Session (board). 

  • Reconcile monthly bank statements.

  • Provide monthly income statement and balance sheet.

  • Track and categorize credit card spending.

  • Track donors (stewardship giving) and in consultation with the pastor send quarterly updates to financial givers. Provide annual contribution statements per IRS guidelines.

  • Track giving to different funds of the church. 

  • Provide two hours of bookkeeping a month for IMPACTO LGBT, a new worshiping community meeting at CPC. (Spanish is helpful but not required for this position.)

  • Provide end of year financial statements for the church annual report and other needs.  

Office assistant:

  • Weekly:  

    • Update Sunday worship slides each week with bulletin information from the pastor/ preacher

    • Timely processing of mail

    • Maintain digital and paper files of the church, especially leases & financial documents

    • Some receptionist duties; let guests in and out of the building.  

  • Monthly

    • Order monthly janitorial supplies from designated suppliers and track delivery. 

    • Order as needed office supplies and printer toner; track delivery. 

    • Manage CPC subscriptions and passwords (zoom, website, google, newsletter, dropbox etc)

    • Keep the church computer and printer up to date. 

    • Notify the pastor and/or designated volunteers if there are broken items in the building. 

  • Occasional and as time allows:

    • When the pastor is away, serve as staff emergency point of contact for building needs. 

    • Coordinate with summer camps especially when the pastor is away (If mutually agreed upon, hours could increase by up to 5 hours a week, on a daily basis, during parts of June, July and August.)

    • Serve as a second point of contact for tenants and others regarding maintenance requests, and the ability to discuss any questions, discrepancies or other issues with tenants during the week. 

    • Serve as a second point of contact and provide support for maintenance or repair staff who are called to the building. 

    • Support IMPACTO LGBT when they lead worship.

    • Website and Social Media updates as directed by the pastor or volunteers

    • Assist in logistical preparation for services/events (i.e. placement of tables, ordering materials, etc.)

Oversight:

  • Direct supervisor: Pastor of the church in conjunction with personnel committee

  • Weekly 30 minute in person staff meeting for the work of the week with the pastor or designee (Tuesdays or Wednesdays, to be mutually agreed upon)

  • Weekly or bi-weekly check ins with church Treasurer

Compensation:

The position is a salaried position.  The compensation range is $10,400 to $13,000 with two paid weeks off per year and one week of sick time per year.  The range is based on $20-25/ hour for 520 hours a year over 52 weeks. 


Benefits:  

  • 2 weeks (20 hours over 2 weeks) paid vacation time. More unpaid time may be considered with notice.  

  • One week of paid sick leave (10 hours over 1 week). More unpaid time will very likely be considered. Sick leave can be for personal sickness or to take care of an immediate family member.  

  • Very close to Clarendon Metro station.

  • Free parking in the church lot next to 1308 North Irving Street.

  • When Arlington Schools close for weather closures, the church also closes.  In person employees work remotely unless otherwise agreed upon with the supervisor.

  • Three months (12 weeks) of paid leave for family medical leave as outlined below.

Leave Policy:  

Employees may take up to 12 workweeks of paid leave in a 12-month period for the following qualifying reasons:

• The birth of a child and to bond with the newborn child within one year of birth, 

• The placement with the employee of a child for adoption or foster care and to bond with the newly placed child within one year of placement, 

• A serious health condition that makes the employee unable to perform the functions of his or her job, including incapacity due to pregnancy and for prenatal medical care, 

• To care for the employee’s spouse, son, daughter, child, or parent who has a serious health condition, including incapacity due to pregnancy and for prenatal medical care; 

  • Spouse means a husband or wife or a partner with whom the employee has a long-standing, committed relationship. 

  • Parent means a biological, adoptive, step or foster father or mother, or any other individual who stood in loco parentis to the employee when the employee was a child. This term does not include “parents-in-law.” 

  • Son or daughter means a biological, adopted, or foster child, a stepchild, a legal ward, or a child of a person standing in loco parentis, who is under 18 years of age or who is 18 years of age or older and incapable of self-care because of a mental or physical disability at the time that family leave is to commence. The onset of a disability may occur at any age for purposes of the definition of an adult “son or daughter”.

A serious health condition is an illness, injury, impairment, or physical or mental condition that involves inpatient care or continuing treatment by a health care provider. The paid leave does not apply to routine medical examinations, such as a physical, or to common medical conditions, such as an upset stomach, unless complications develop. 


For all conditions “incapacity” means inability to work, including being unable to perform any one of the essential functions of the employee’s position, or inability to attend school, or perform other regular daily activities due to the serious health condition, treatment of the serious health condition, or recovery from the serious health condition. The term “treatment” includes but is not limited to examinations to determine if a serious health condition exists and evaluations of the condition.


Employees who intend to utilize paid family leave must notify the Employer of the intent and the expected duration of the leave. The Employer will determine the applicability of this policy and may require documentation of the qualifying reason for family leave. For purposes of paid leave, part-time and hourly employees will be compensated at a rate equal to their average compensation over the two months prior to the time that family leave is to commence.
